Events Terms of Service
Koyeb Global Events Terms of Service - June 27th, 2025
Koyeb is organizing global events, including but not limited to AI Engineer Paris, AI Infra Meetup, AI Developer Meetup (hereinafter the “Events”).
The Koyeb Global Events Terms of Service (hereinafter the “Terms”) define the terms and conditions applicable to the purchase of tickets and the conditions of access to the Events organized by Koyeb, Société par actions simplifiée, with a share capital of 49,457.54 euros, registered with the Trade and Commercial Register of Nanterre under the number 850 183 948, having its registered address at 9, rue des longs prés – 92100 Boulogne-Billancourt, France (hereinafter the “Organizer”).
1. Acceptance of the Terms of Service
These Terms apply to:

Individual participating as professionals or entity applying to participate in an Event (including as an attendee, exhibitor, speaker, sponsor, or volunteer);

Participant registering for, attending, or otherwise engaging in the Event (“Participant”); and
-
Use of all forms of Event tickets, including but not limited to badges, tickets, passes, QR codes, wristbands and/or digital or mobile access tickets (“Tickets”).
As the Events are exclusively accessible to professionals, excluding any “consumer” within the meaning of the preliminary article of the French Consumer Code, the Terms shall not be subject to said Code. By accessing the Event or using any Ticket, the Participant expressly agrees to be bound by these Terms, except with respect to Ticket prices and purchases already made, which shall remain governed by the Terms in effect at the time of purchase.
The Organizer reserves the right to:

Verify the identity and eligibility of any applicant or Ticket holder at any time;

Reject, cancel, or deny any application or registration in its sole discretion, with or without cause; or
-
Pursue all available legal remedies against any individual or entity that submits fraudulent applications, attempts to transfer or duplicate Tickets, or otherwise violates these Terms or applicable law.
The Organizer reserves the right to modify or update these Terms at any time, without prior notice. Any updated version will be made available on the Event’s official website and shall take immediate effect upon publication.
2. Ticket sale and prices
The different Events, Ticket prices, and offers are available at koyeb.com/events.
The Organizer shall not be held liable for any additional bank charges, currency conversion fees, or third-party processing costs incurred by the Participant when purchasing the Ticket.
Participants may be required to complete an attendee profile before the Event to activate or retrieve their Ticket.
3. Event Access
Various talks, workshops, and activities are offered as part of the Event, according to the schedule posted on the official page of the Event.
Nevertheless, the Organizer may close entry to the Event before this time in order to comply with a health protocol and/or for safety reasons, in particular when maximum capacity has been reached.
A Ticket is required to access Koyeb Events. The Tickets are personal and non-transferable.
All Participants must wear, display, or present valid Tickets at all times while in Event venues, sessions, and designated areas. Tickets may include physical badges, wristbands, and digital access passes, each of which must be used as follows if provided:

Badges must be worn visibly on an Organizer-issued lanyard around the neck;
-
Badges must remain attached to the official lanyard and worn round the attendees neck, and may not be transferred once printed; and
-
Digital passes must be readily accessible on the Participant’s mobile device and presented upon request by Event staff or security personnel.
Possession of a Ticket does not guarantee entry to all areas, sessions, or activities. Access may be restricted based on:

Venue capacity;
-
Age restrictions;
-
Ticket tier, track designation, or pre-registration status for limited-access sessions; or
-
Health and safety protocols, including but not limited to masking, vaccination verification, bag size restrictions, or prohibited item policies.
Participants may be denied access or removed from the Event without a refund if they:
-
Fail to properly display or present a valid Ticket;
-
Attempt to access restricted areas without appropriate authorization; or
-
Refuse to comply with safety protocols or security screening
4. Cancellation or refund of the Tickets
4.1 Withdrawal
Tickets shall not give rise to any right of withdrawal insofar as the Participant is necessarily a professional.
4.2 Cancellation by the Purchaser
Purchased Tickets cannot be returned, refunded or exchanged. Therefore, no reimbursement of the Tickets will be made for any reason whatsoever and in particular in the event of partial or total cancellation of the Tickets by the purchaser.
4.3 Cancellation by the Organizer
In a case of a cancellation by the Organizer, the purchaser’s compensation will be limited to the reimbursement of the price paid for the Ticket. Any other costs, even if linked to the Event attendance, will be at the purchaser’s expense.
The Organizer may, in its sole discretion and at any time, cancel or revoke any Tickets, applications, purchases, or reservations without a refund if it determines a violation of these Terms.
4.4 Force majeure
The Organizer shall not be liable if the performance of its obligations should be delayed, restricted or made impossible by virtue of a case of “Force Majeure” which shall mean the events external to the Parties, unpredictable and unstoppable, as defined by French case law. The following events shall be deemed to constitute a case of Force Majeure (without purporting to be an exhaustive list): war (declared or not); terrorist act; invasion; rebellion; blockade; sabotage or act of vandalism; strike or social dispute, total or partial, external to both Parties; bad weather (in particular flooding, storms and hurricanes); events declared as “natural disasters”; zombie invasion; fire; epidemic; transport or supply blockades (particularly energy); failure of electrical energy, heating, air conditioning supplies, of the telecommunication or data transport network; satellite failure.
5. Unauthorized and Invalid Use of Tickets
5.1 Unauthorized use
Tickets — including badges, wristbands, tickets, QR codes, or digital access — are personal and revocable licenses issued solely to the individual named in the registration. Tickets may not, unless expressly authorized in advance and in writing by the Organizer, be:

Used as prizes, giveaways, or incentives in any sweepstakes, contest, raffle, drawing, promotion, or marketing campaign;
-
Transferred, sold, auctioned, bartered, or offered for resale, either privately or via online marketplaces; or
-
Used for advertising, commercial endorsement, or in any manner that falsely suggests association with or sponsorship by the Organizer.
Unauthorized use of Tickets in violation of these Terms will result in immediate revocation of the Ticket (without refund), denial of entry and potential legal action. The Organizer reserves the right to monitor for and enforce against improper use of Tickets to protect the integrity of the Event.
5.2 Invalid use
All Tickets are the property of the Organizer and must be worn or presented as directed at all times while in designated Event areas.
Tampering with Tickets is strictly prohibited. This includes, but is not limited to:

Cutting, taping, stretching, altering, or obscuring any part of a wristband, badge, or lanyard;

Removing or replacing RFID tags, QR codes, or printed identifiers;
-
Attempting to duplicate, forge, counterfeit, or share access information; or
-
Using another person’s Tickets or permitting someone else to use the Participant’s.
Any Ticket that appears to have been tampered with, modified, duplicated, or used in violation of these Terms may be confiscated immediately and deemed invalid without refund, deferral, or credit. The Organizer reserves the right to deny entry or eject any individual found in possession of such Ticket(s) and may refer the matter to law enforcement where applicable.
Participants are solely responsible for the safekeeping of their Tickets. Lost, stolen, or confiscated Tickets may only be reissued at the sole discretion of the Organizer and may require payment of the full prevailing Ticket price.
6. Personal Data
The Organizer is committed to protecting Participants’ personal data in accordance with the General Data Protection Regulation (EU) 2016/679 (GDPR).
Personal data collected from Participants or their companies is required for processing registrations, managing access to the Event, issuing Tickets, enabling networking features, and facilitating interactions with exhibitors and other attendees. Mandatory data fields are identified during the registration process. Failure to provide this data will result in the inability to fulfil the Participant’s registration.
Participants may be contacted by the Organizer, venue operators, or their authorized subcontractors to assist with participation logistics or inform them of related services. Personal data may also be shared with exhibitors and partners, where Participants have given consent (e.g., via badge scanning during the Event).
The legal bases for processing personal data include the performance of a contract, the Organizer’s legitimate interests in managing and improving the Event, and, where applicable, the Participant’s explicit consent (e.g., for badge scanning, newsletter subscriptions, or sharing information with third parties).
The data may be used by the Organizer and its partners for direct marketing and business development purposes. Data will be retained for a minimum of 5 years and up to 10 years for financial and accounting records.
Participants have the right to access, correct, delete, object to, or request portability of their personal data. Requests can be submitted by email at dpo@koyeb.com.

7. Image Rights and Privacy
By attending or participating in the Event, Participants acknowledge and agree that the Organizer, its affiliates, sponsors, media partners, contractors, and authorized representatives (collectively, the “Organizer Parties”) may capture, record, photograph, livestream, or otherwise reproduce their image, likeness, voice, statements, and biographical data in any format, including video, audio, or still image (“Recordings”).
Participants grant the Organizer Parties a worldwide, royalty-free, sublicensable, and transferable license to use, reproduce, adapt, publish, translate, distribute, publicly perform, publicly display, create derivative works from, and otherwise exploit such Recordings for any lawful purpose, including but not limited to:

Marketing, advertising, and promotional campaigns;

Media relations and press coverage;
-
Social media and online publication;
-
Event documentation and archival;
-
Training and internal analysis.
This authorization covers the use on any media, existing or future, known or unknown to date, and in any format or distribution method, including broadcast and streaming platforms for a duration of ten (10) years.
Participants waive any rights to inspect or approve the final material in which their image or likeness appears and release the Organizer Parties from any liability in connection with such use. This waiver includes any rights of publicity or privacy under applicable law.
Participants may exercise their right to access, rectify and delete their image free of charge, in accordance with Article 5.
8. Content Use and Intellectual Property
All content made available during the Event — including but not limited to presentations, panel discussions, keynote addresses, workshops, performances, slide decks, audio, video, and digital assets (collectively “Event Content”) is the intellectual property of the Organizer, its affiliates, licensors, or content providers, and is protected by applicable copyright, trademark, and other intellectual property laws.
Participants may not, without the Organizer’s prior express written consent:

Distribute, license, sublicense, sell, or exploit Event Content for commercial or non-commercial purposes;

Create derivative works from, adapt, modify, or otherwise transform Event Content for commercial purposes; or
-
Circumvent, disable, or interfere with any digital rights management (DRM), encryption, access control, geo-blocking, or other security or usage restrictions implemented by the Organizer or its technology partners.
Violation of these restrictions in respect of Event Content may result in:

Immediate revocation of Ticket(s) without refund;
-
Restriction of access to Event platforms or content; or
-
Civil and/or criminal liability under applicable laws.
Participants agree to comply with all content use, copyright, and streaming policies published by the Organizer, and any additional rules or notices provided in connection with specific sessions or materials.
9. Lost items
The Organizer assumes no responsibility or liability for any lost, stolen, misplaced or damaged personal items brought to or left at the Event, whether in common areas, private rooms, booths or storage areas.
Lost and found services may be made available solely as a courtesy to Participants. The Organizer makes no guarantees regarding the security, retrieval, or return of any items. Participants are solely responsible for safeguarding their personal belongings at all times.
If the Participant believes they have lost an item, they may contact Event staff at designated help desks or via post-event communication channels. Recovered items may be claimed by the Participant upon providing adequate identification and a clear description of the item.
Unclaimed items will be held for up to ten (10) days following the conclusion of the Event. After that time, such items may be disposed of, donated, or destroyed at the sole discretion of the Organizer without further notice or obligation to the item’s owner.
The Organizer reserves the right to refuse the release of any item if ownership cannot be verified or if return would be unlawful or unsafe.
10. Applicable Law and Jurisdiction
These Terms are governed by French law.
In the event of a dispute between the Organizer and a Participant, the parties shall first attempt to resolve the matter amicably. If no resolution can be reached, any disputes relating to the formation, interpretation, execution, or termination of these Terms shall fall under the exclusive jurisdiction of the courts of Paris, including in cases of multiple defendants.
